Managing Your Subscription
Manage your CraftDesk subscription anytime. Upgrade to access more features, downgrade if you need less, or cancel when you're done.
Viewing Your Current Plan
See your current subscription in Settings → Billing → Plan:
- Current plan name and price
- Team member count and limit
- Project count and limit
- API call usage and limit
- Billing date and next charge amount
- Days until renewal
This dashboard gives you a complete overview of your subscription status.
Upgrading Your Plan
Upgrade to unlock more projects, team members, API calls, and premium features.
How to Upgrade
- Go to Settings → Billing → Plan
- Click Upgrade next to the desired plan
- Review the plan features and pricing
- Choose billing period (Monthly or Annual)
- Confirm billing details
- Click Upgrade Now
What Happens After Upgrade
- You immediately gain access to new features
- Your next invoice reflects the price difference (prorated)
- If upgrading mid-cycle, you're only charged for remaining days at the new rate
- Your workspace is not disrupted; changes take effect immediately
Example
If you upgrade from Starter ($29/month) to Professional ($99/month) on the 15th of a 30-day month:
- Remaining days: 15
- Prorated charge: approximately $35 for the remaining half-month
- Next invoice includes the full $99 charge
Downgrading Your Plan
Downgrade to a lower plan to reduce costs. Be aware of the limitations:
Project Limit — If you exceed the new plan's project limit, excess projects are automatically archived.
Team Member Limit — If you exceed the new plan's member limit, you cannot invite new members until you remove some.
API Call Limit — Your monthly API call allowance decreases. Exceeding the new limit disables API access until next month.
Custom Domains — Features not included in the new plan become unavailable.
How to Downgrade
- Go to Settings → Billing → Plan
- Click Downgrade next to the desired plan
- Review what you're losing with the downgrade
- Click Downgrade to Plan Name
Downgrades take effect at your next billing cycle. You continue using your current plan until the renewal date.
Example
Downgrading from Professional to Starter:
- Current plan remains active until next billing date
- On renewal, you're charged the Starter rate
- If you have 20 projects (Starter limit is 5), 15 are automatically archived
- The archived projects remain in your workspace and can be unarchived if you upgrade back
Changing Billing Period
Switch between monthly and annual billing:
- Go to Settings → Billing → Plan
- Click Change Billing Period
- Select Monthly or Annual
- Confirm the change
Annual billing provides approximately 17% savings. You can switch anytime; changes take effect at your next renewal.
Canceling Your Subscription
Cancel your CraftDesk subscription anytime. Your workspace and data are preserved, and you can reactivate later.
How to Cancel
- Go to Settings → Billing → Plan
- Click Cancel Subscription
- Tell us why you're canceling (optional feedback)
- Confirm cancellation
Your workspace transitions to a read-only state. You can still view projects and data but cannot create new projects or invite members.
After Cancellation
- Data is preserved — All projects, tasks, and history remain in your workspace
- Access to paid features is disabled — Custom domains, advanced analytics, and API access become unavailable
- Email support stops — Community support via forums remains available
- No refunds — We don't offer refunds for unused time
Reactivating Your Subscription
Reactivate your workspace anytime by subscribing again:
- Go to Settings → Billing
- Click Reactivate Subscription
- Choose a plan (same or different)
- Complete payment
Your workspace is immediately restored to full functionality. All previous data is intact.
Handling Payment Failures
If your payment method declines:
- You'll receive an email notification
- Your workspace enters a limited state (read-only)
- You have 7 days to update your payment method
- After 7 days, your workspace is deactivated
To fix a payment issue:
- Go to Settings → Billing → Payment Method
- Update your credit card or payment info
- Click Retry Payment
Your workspace is immediately restored if the payment succeeds.
Invoices and Receipts
Access all your invoices in Settings → Billing → Invoices:
- Invoice date and amount
- Billing period
- Payment status
- Download PDF

Common Scenarios
Exceeding Project Limit
Situation: You're on Starter (5 projects) but need to create a 6th.
Solution: Upgrade to Professional (25 projects) or archive a project to free up space.
Running Out of API Calls
Situation: You're on Professional (50K/month) and used 48K on the 20th.
Solution: Upgrade to Business (500K/month), optimize your API usage, or wait for the monthly reset.
Reducing Team Size
Situation: You're on Professional (15 members) and want to downgrade to Starter (1 member).
Solution: Remove 14 team members, then downgrade. You can re-invite them later if you upgrade back.
