Templates

Templates save time by providing pre-configured project structures. CraftDesk includes built-in templates and lets you create custom ones from existing projects.

Built-In Templates

When creating a new project, you can choose from these templates:

Kanban

The Kanban template is ideal for continuous workflow management. It provides columns representing different stages of work:

  • To Do — New tasks waiting to be started
  • In Progress — Active work
  • Review — Tasks awaiting approval or review
  • Done — Completed work

Use Kanban for:

  • Software development with continuous deployment
  • Customer support workflows
  • Marketing campaign execution
  • Any workflow with distinct, linear stages

Sprint

The Sprint template is designed for agile teams working in time-boxed iterations. It includes:

  • Sprint Planning — Define goals and capacity for the upcoming sprint
  • Sprint Board — Track work in progress during the sprint
  • Velocity Tracking — Measure team throughput across sprints
  • Sprint Retrospective — Reflect on what went well and what to improve

Use Sprint for:

  • Software development with two-week sprints
  • Product teams coordinating releases
  • Any time-boxed initiative with defined scope

Roadmap

The Roadmap template visualizes planned work over time. It's structured around:

  • Quarters — Organizational periods (Q1, Q2, etc.)
  • Milestones — Major deliverables or achievements
  • Initiatives — Large bodies of work spanning multiple sprints
  • Timeline — Visual representation of when work happens

Use Roadmap for:

  • Long-term product planning
  • Strategic initiatives spanning multiple months
  • Cross-team coordination and visibility
  • Stakeholder communication and transparency

Blank

Start with no pre-configured structure and build your custom workflow from scratch. Choose this if none of the templates match your needs or you want complete freedom in design.

Creating Custom Templates

Convert an existing project into a reusable template by exporting its structure (without data). This is useful when you've perfected a workflow and want to use it repeatedly.

To create a custom template from a project:

  1. Set up your project exactly as you want it
  2. Go to SettingsTemplatesSave as Template
  3. Give your template a descriptive name
  4. Choose whether to include task templates and workflows
  5. Save

Your custom templates appear alongside built-ins when creating new projects. They're stored at the workspace level, so all members can use them.

Using Templates When Creating Projects

When creating a new project:

  1. Click New Project
  2. Enter project details
  3. Select a template (built-in or custom)
  4. Click Create

The project is created with the template's pre-configured structure, but no data. You're ready to start adding tasks immediately.

Modifying Templates

You can update custom templates after creation:

  1. Go to SettingsTemplates
  2. Find your template in the list
  3. Click Edit
  4. Make changes to the template structure
  5. Save

These changes apply only to new projects created from the template. Existing projects are unaffected.

Sharing Templates Across Your Workspace

All workspace members can see and use custom templates. This encourages consistency across projects and reduces duplication of effort. For example:

  • Create a "Client Project" template that includes your standard deliverables and workflow
  • Create a "Internal Initiative" template with your company's planning process
  • Share these templates so team members create consistent, professional projects

Template Best Practices

Name Clearly — Use descriptive names like "2-Week Sprint" or "Client Delivery" rather than "Template 1".

Document Workflows — Add project descriptions explaining the template's workflow and naming conventions.

Keep Updated — Review templates quarterly to ensure they reflect current best practices.

Version Important Templates — If a template significantly changes, save it with a version number (e.g., "Client Delivery v2").

Test Before Sharing — Use a template once before marking it as official to catch any issues.
