Project Settings

Fine-tune how your project behaves and looks by adjusting project settings. Access settings by clicking Settings in your project's navigation menu.

Visibility and Access

Project Visibility

Projects can be configured as either Private or Team-Wide:

Private — Only explicitly invited members can access the project. Default for new projects. Use this for confidential client work, internal initiatives, or sensitive projects.

Team-Wide — All workspace members can view and interact with the project. Useful for shared initiatives where transparency is important. Members can still have different edit permissions based on their workspace role.

Change visibility anytime in SettingsAccessVisibility.

Custom Domains

Professional and Business plans can create custom subdomains for project-specific URLs. This is useful for:

  • Client-facing project portals
  • External stakeholder access
  • Branded project spaces

Custom Domain Limits:

  • Professional: 1 custom domain
  • Business: 10 custom domains
  • Starter: Not available

To configure a custom domain:

  1. Go to SettingsCustom Domain
  2. Enter your desired subdomain (e.g., "roadmap")
  3. Verify DNS records (you'll receive instructions)
  4. Enable the domain when DNS is configured

Your custom domain URL becomes: subdomain.craftdesk.app

Note: Custom domains require DNS verification and may take up to 48 hours to fully activate.

Notifications

Control how your team is notified about project activity.

Email Notifications

Choose notification frequency for all team members:

  • Instant — Receive emails as events happen
  • Daily Digest — Single email summarizing the day's activity
  • Weekly Digest — Weekly summary every Monday morning
  • Disabled — No email notifications

In-App Notifications

Even with email disabled, team members receive in-app notifications they can access from their notification center. This ensures important updates are never missed.

Project Metadata

Add custom metadata to organize and identify your project:

Tags — Add multiple tags for easier filtering. Examples: "client-facing", "high-priority", "design-heavy".

Color — Choose a color that visually represents your project in lists and dashboards.

Access Code — Optionally generate a unique code that grants temporary access to external stakeholders without requiring an account (Professional+ only).

Advanced Settings

Project Archival Rules

Configure what happens when a project reaches a certain age or inactivity level. Options include auto-archiving inactive projects after 90 days or requiring explicit confirmation before archival.

Data Retention

Control how long historical data is retained:

  • 30 days — Lightweight retention for temporary projects
  • 90 days — Standard retention for most projects
  • 1 year — Extended retention for compliance or auditing
  • Unlimited — Never delete historical data

After the retention period expires, archived activity is purged automatically.

Danger Zone

The Danger Zone section contains irreversible actions:

Archive Project — Hide the project from the main view while preserving all data. Archived projects can be unarchived anytime.

Delete Project — Permanently remove the project and all associated data. This action cannot be undone. Only workspace owners can delete projects.

Before deleting, consider:

  • Exporting important data if needed
  • Notifying team members of the deletion
  • Checking for active tasks or ongoing work

Warning: Project deletion is permanent and affects all team members immediately.
