Invite team members to your CraftDesk workspace via email.

Inviting Members

Build your team by inviting people to your CraftDesk workspace. Members can then collaborate on projects and contribute to shared goals.

Sending Invitations

To invite team members:

  1. Go to SettingsTeamMembers
  2. Click Invite Member
  3. Enter one or more email addresses (one per line)
  4. Select the role for each person (Owner, Admin, or Member)
  5. Click Send Invitations

The invitees receive an email with a personalized invitation link. They click the link to accept the invitation and create their account (or log in if they already have one).

Invitation Expiration

Invitations are valid for 7 days. If someone doesn't accept within that timeframe, the invitation expires and you'll need to send a new one. You can resend invitations anytime from the Members page.

Assigning Roles

When inviting members, assign the appropriate role:

Owner — Full control of the workspace, including billing and team management. Usually reserved for workspace creators or senior decision-makers. Assign this sparingly.

Admin — Can create and manage projects, modify team members, and adjust workspace settings. Does not have access to billing. Suitable for team leads or project managers.

Member — Can view and work on projects assigned to them. Cannot manage settings or invite others. Suitable for individual contributors.

Team Member Limits

Your workspace plan determines how many team members you can have:

When you reach your limit, you cannot invite new members. Options:

  • Remove members you no longer work with
  • Upgrade to a plan with higher limits
  • Have removed members rejoin after a cooling-off period

Note: Removing a member doesn't delete their account—it just removes them from your workspace. They can rejoin if re-invited.

Pending Invitations

Until invitations are accepted, they appear in your Members list with a "Pending" status. You can:

  • Resend — Send the invitation email again
  • Revoke — Cancel the invitation; the link becomes invalid
  • Cancel — Remove the pending invitation entirely

Re-inviting Previously Removed Members

If a member was previously removed from your workspace, they can be re-invited immediately. Their previous projects and data are preserved.

Invitation Best Practices

Batch Invitations — Invite multiple team members at once rather than one-by-one. Use line breaks to add multiple emails in a single invitation action.

Assign Roles Carefully — Give Owner role only when necessary. Admin role is sufficient for most leaders. Most team members should be Members.

Communicate Externally — Let invitees know they'll receive an invitation email. Some email systems may filter the invitation as spam.

Follow Up — If someone hasn't joined after a few days, check that they received the email and resend if needed.

Document Access — Keep your team informed about who has what role and why.

For Business plan customers with enterprise needs, CraftDesk supports:

  • SAML Single Sign-On — Simplify login and access management
  • Directory Sync — Automatically sync users from your directory (Active Directory, Okta, etc.)
